Team scheduling for small service teams: round robin, the client's pick, and no price per seat

By the Calybee team · Updated · 5 min read

A team of three to ten has different problems from a team of one. Bookings have to be shared fairly, clients sometimes want a particular person, some sessions need two people at once, and every person needs to know their week. Most scheduling tools solve this by charging for every seat. Here is how the main options compare for a small service team.

The short answer

  • Choose Calybee Teams Bee ($29 a month billed yearly for five people) if you sell sessions, classes or treatments and want booking, payments, the team page and your website in one, with no seat to buy per person.
  • Choose Calendly Teams for sales teams routing demos into a CRM.
  • Choose Acuity if you are already on Squarespace and need HIPAA support.
  • Lunacal Teams is a good booking page with round robin and collective events, priced per user.

Sharing bookings fairly

Round robin is only fair if it looks at more than whose turn it is. Calybee gives each new booking to the person who is free at that time and has the fewest bookings coming up, so a part-timer is not buried and a busy week evens out by itself. If you would rather your senior people go first, switch the service to priority and drag the order. The booking records why it went to whom (the client picked them, the rota, or you by hand), and the Insights tab shows each person's share of bookings and hours side by side, with a score for how evenly the work is spread.

Each person's own link, instead of a seat

Per-seat tools make every team member a user: an invitation, a password, a calendar to connect, a monthly charge. For a salon with three chairs or a clinic with two part-time practitioners, that is a lot of overhead for people who only need to know their week.

In Calybee each person accepts one emailed invitation and then has their own link. It shows their bookings with each client's name and contact details, a box to message the owner, and their days off, which they add and remove themselves: the booking page stops offering those days at once. A manager or front desk can be allowed to see the whole team's next two weeks. Nobody else's client details are ever shown to them.

The team on your site

Clients choose people, not calendars. Calybee's Team section shows each person with a photo, a line about them and a button that books that person directly. Questions on the page can send each client to the right service and person ("New client or returning?", "Which treatment?"). And because the site, the booking calendar and the team live in one account, a new person is on the page and in the rota the day they accept.

Questions people ask

What is the best scheduling software for a small team?

For a team of two to ten that sells its time (a salon, a clinic, a coaching practice, a studio), pick one that shares bookings fairly, lets clients pick the person, and does not charge a seat for every member. Calybee Teams Bee is $29 a month billed yearly for five people, with round robin, collective bookings, a team page and team insights. Per-seat tools such as Calendly Teams and Lunacal Teams cost more as the team grows.

What is round robin scheduling?

Round robin shares new bookings out across a team automatically. In Calybee each booking goes to whoever is free and has the fewest upcoming bookings, or to people in an order you set (priority). Clients can also pick the person themselves, or book anyone available.

What is collective scheduling?

A collective booking needs several people at once, such as a consultation with two practitioners. Only the times when everyone is free are offered, and everyone is added to the booking. In Calybee it is called booking several of you together, on Teams Bee.

Do team members need their own account or login?

Not in Calybee. Each person gets an emailed link to their own schedule: their week, messages with the owner, and their own days off, which they add themselves. There is no seat to buy for them. In per-seat tools each member is a paid user with a login.

How much does team scheduling cost for five people?

Billed yearly, by published prices checked in October 2026: Calybee Teams Bee $29 a month for all five; Lunacal Teams $15 a user, so $75; Calendly Teams $16 a seat, so $80; Acuity Standard $27 for up to six calendars, with the website a separate Squarespace plan.
