Mindbody alternatives for small yoga, pilates and fitness studios

By the Calybee team · Updated · 4 min read

Mindbody is the household name in studio software, and for a chain with several locations, a branded app and a front desk, it earns its price. A single-room yoga or pilates studio with three teachers needs a smaller set of things: a timetable people can book, class passes and memberships, a waitlist, and a website that fills the room.

The short answer

  • Mindbody starts around $79 to $99 a month per location, sold through a sales call, with add-ons on top.
  • Best for a small studio that wants the website and booking in one: Calybee, from $19 a month, 0% commission.
  • Best for a studio that wants a branded app and on-demand video: Momence, Arketa or WellnessLiving.
  • Stay on Mindbody if you run several locations and rely on its consumer app for new members.

1. Calybee

Best for: single-location yoga, pilates, barre, dance and boutique fitness studios

We make Calybee, so judge it by the table above. It was built for businesses that sell their time, and a studio timetable is that, many times a week.

  • Classes and workshops with the number of places left at every time, and a waitlist that fills a place the moment it opens
  • Drop-ins, class passes and memberships offered together, with a member's monthly allowance tracked for you
  • One booking can bring several people, priced per person
  • Your studio's website, built by the Bee in designs made for studios, with your timetable on it
  • Teachers on Teams Bee (five included, then $10 a month for each extra person, billed yearly), each with their own schedule, their own link and their own days off
  • Payments into your own Stripe or PayPal; Calybee takes 0%

Where it falls short: no branded app in the app stores, no on-demand video library, no front-desk retail or payroll, and reminders by email only for now.

2. Momence

Best for: studios that mix in-person classes with livestreams and on-demand video

A studio platform with memberships, a video library and marketing tools. Plans are sold through its sales team; check what is included at your size.

3. Arketa

Best for: boutique studios that want a branded app

Modern studio software with a branded app option, memberships and on-demand content. Priced by plan and add-on.

4. WellnessLiving

Best for: growing studios that want Mindbody's depth for less

A full studio management suite (booking, memberships, marketing, a branded app on higher tiers) often compared with Mindbody feature for feature.

Switching without losing members

  1. Check your Mindbody agreement for the notice period, and pick a switching date after it.
  2. Export your client list and active memberships, and note each member's renewal date.
  3. Build the new timetable and passes first, then import clients (Calybee's Import from another tool takes a spreadsheet and emails nobody).
  4. Tell members in person and by email a week ahead, with the new booking link, and honour their remaining classes.

Calybee imports clients and bookings from a file. It does not move live memberships or card details between payment providers, so members start their new membership in Calybee themselves; that keeps their payment consent clean.

Questions people ask

How much does Mindbody cost?

Mindbody's pricing page says plans start at $99 a month per location, and its FAQ gives $79 a month for the entry plan in North America. Every plan is sold through a sales call, and add-ons such as a branded app cost extra.

What is the best Mindbody alternative for a small yoga studio?

For a studio with one room and a few teachers, Calybee covers class booking with places left and a waitlist, class passes, memberships, gift cards and the studio's website from $19 a month with 0% commission. Studios that need a branded mobile app or an on-demand video library should look at Momence, Arketa or WellnessLiving.

Can I sell class passes and memberships without Mindbody?

Yes. Calybee sells packs (class passes) and memberships with a monthly allowance, side by side with single drop-ins, paid into your own Stripe or PayPal. Momence, Arketa and WellnessLiving do too.

Does Calybee have a waitlist for full classes?

Yes. When a class is full, clients join the waitlist, and when a place opens the waitlist moves up by itself.

Do I need a contract to leave Mindbody?

Mindbody says contract terms depend on your plan and billing. Check your agreement for the notice period before you set a switching date, and run both systems in parallel for a week.
